Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will have excellent communication skills, be proficient in various administrative tasks, and possess a strong ability to multitask. As an Administrative Assistant, you will provide support to the team and ensure the smooth operation of our office.
Responsibilities:
- Serve as the front desk receptionist, greeting visitors and directing them to the appropriate personnel - Provide personal assistant support to executives, including managing calendars, scheduling appointments, and making travel arrangements - Maintain and organize physical and electronic files, ensuring all documents are properly labeled and easily accessible - Answer phone calls and respond to inquiries with professionalism and excellent phone etiquette - Provide exceptional customer service to clients, addressing their needs and resolving any issues in a timely manner - Coordinate projects by collaborating with team members, tracking progress, and ensuring deadlines are met - Perform various clerical tasks such as data entry, photocopying, and scanning documents - Utilize software applications such as Microsoft Outlook Calendar for scheduling meetings and appointments - Operate phone systems to transfer calls or take messages accurately - Assist in the preparation of reports, presentations, and other documentation as needed - Utilize DocuSign or similar software for electronic document signing
Qualifications:
- High school diploma or equivalent required; associate's degree preferred - Proven experience in an administrative role or similar position - Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications - Strong organizational skills with the ability to prioritize tasks effectively - Excellent written and verbal communication skills - Ability to maintain confidentiality of sensitive information - Demonstrated problem-solving abilities and attention to detail - Ability to work independently with minimal supervision Ordering office supplies and office vendor liaison Greeting office visitors, filing, managing office supplies Manage general office administrative activities Supporting the general office administrative functions Lead the administrative office functions Perform all other general office duties Provide administrative support to office staff Perform miscellaneous office duties, maintain office supplies, file Maintain and orders office supplies Supervise all non-clinical office staff including business office, front office and administrative support personnel Maintain inventory of office supplies Provide general office management and administrative functions Managing office on a daily basis including maintaining office/kitchen supplies Order and maintain office supplies Ordering office supplies/Kitchen supplies Maintain and order office supplies Manage administrative records and pulling/filing office charts Giving office supplies/kitchen supplies to employees Perform other general office activities Organize supplies and office equipment Recommended Skills Accounts Payable Administration Clerical Works Data Entry Spreadsheets Apply to this job. The fraudster will send a check to the victim who has accepted a job. The check can be for multiple reasons such as signing bonus, supplies, etc. The victim will be instructed to deposit the check and use the money for any of these reasons and then instructed to send the remaining funds to the fraudster. The check will bounce and the victim is left responsible.
